Paly Attendance Procedures

Please remember to call the Attendance Office at (650) 329-3711 to report your student’s absence within 48 hours to avoid an unexcused absence. Once the 48 hour window has expired, the office may only excuse your student’s absence with a written note from a physician that specifically documents the illness and time missed, or clearance from an administrator.

Clearly state (with spelling) your student’s first and last name and grade. State specific days and/or periods missed.

No email or hand written notes will be accepted to clear absences or to excuse for appointments during the day. The attendance office ONLY accepts parent/guardian telephone calls to the attendance line (650) 329-3711.

The Attendance Office does not send message reminders (call-slips) or interrupt classes to students regarding dental, medical, or other appointments. Parents first phone the attendance office to notify Attendance of the appointment, and then it is the student’s responsibility to come to the attendance office to obtain a “permit to leave” prior to the scheduled appointment that day.

Students wishing to obtain administrative approval for a prearranged/approved absence may pick up a form to be signed by parent, teachers, and administrator then turned in to Attendance Office 48 hours before the absence to be cleared.

Team sports excuse times are reported daily to all staff and Attendance Office, so your student will only be cleared from the official time indicated. They must attend class until the exact release time specified to staff from coach. If you find a discrepancy with a team release time, please contact the coach directly and ask him or her to contact the Attendance Office at (650)329-3711.

An absence of 5 days or longer requires a note from a physician. If your student leaves campus for a medical appointment, please remember to have your student sign back in through the Attendance Office before returning to the classroom.

When students have accumulated 3 or more unexcused absences, they are required to attend one hour of Saturday School for every unexcused period. If you receive a “Saturday School Notice” via phone and/or email, your student has acquired 3 or more “unexcused absences” and is required to attend Saturday school as indicated on the form. Failure to attend Saturday school could result in a one day suspension. If you receive a message for an absence that you believe is a teacher error, please contact that teacher directly. Again, DO NOT contact the attendance office if you believe the teacher made a mistake in reporting your student’s attendance. Your student can pick up an Attendance Correction form from the teacher, or from the Attendance Office for the teacher to change marks on the attendance records. Return the signed form to the Attendance Office.
